How to Writing a Notebook in Security Duty.

Basic security guard training Unit 1 Lesson (C)

Writing a notebook is recording crucial information that you observe, statements of individuals, and evidence of incidents, in a clear, precise, and organized manner.

The objective of note-taking;

  • Good note-taking aims to help the security guard record daily incidents in their notebook accurately and concisely.
  • Notebook is an integral part of the security equipment you should manage, maintain, and handle your notebook professionally, you may need to present it to the supervisor, law enforcement officers, and judges in the court hearing.
  • During your duties, you will encounter various situations and people. Since recalling everything is impossible, write down information in your notebook that requires further action.
  • A notebook is a valuable tool for a security report. Accuracy is inevitable in your writing because a security report is considered testimony at the trial.
  • If you take note while the incident happening. You can reference the precise time in the security report which is primarily used as evidence in the court hearing.

In this lesson, the security trainees will learn the importance of maintaining the notebook, tips to record the information, and how to use the notebook to write a comprehensive security report.

What is The purpose of writing a notebook?

The notebook is not only used by security guards but also maintained by police officers, law enforcement personnel, investigators, and other professionals. In this context, the purposes of writing a notebook can vary, but some important ones are highlighted below.

  1. To Recall Incident Details:

The notebook plays a crucial role in helping you remember details of an incident. As time passes, your memory fades, and the gap between the incident and a possible trial is typically at least five to six months. Without recording the incident in your notebook, you risk forgetting critical details.

Information such as the location, time, description of objects, and names and addresses of witnesses may become inaccurate or incomplete if not noted down. To preserve the accuracy of the vital information you are required to write the notebook as soon as possible.

2. Provide accurate testimony:

Due to the nature trial, you may be called to testify in court as a witness. You can not impress the judges or jury when you start remembering the incident scene. At this point, your credibility is a stake.

Carrying a well-maintained notebook ensures you don’t forget important events or scenes, allowing you to provide accurate and reliable testimony

When requested by the judge, presenting a detailed notebook not only strengthens your testimony but also demonstrates your professionalism and diligence in note-taking.

Failing to recall the sequence of events without a notebook could lead you to responses like “I don’t remember,” “I don’t know,” or “I have no idea,” which may weaken your testimony. To avoid this, document the details in your notebook as the incident is progressing.

3. To demonstrate your work and ability:

Many people can review your notebooks such as your supervisor, manager, client representative, police, lawyer, and even judge. The quality of your notebook reflects your professionalism and ability to perform as a competent security guard.

A well-maintained and detailed notebook supports your credibility, while a poorly written one reflects your carelessness and lack of professionalism.

An efficient and well-organized notebook always reflects your organizational skills and ability. The information you document also demonstrates your understanding of the law and your ability to handle offenses effectively.

Ultimately, the quality of your notebook reflects the effort and diligence you put into your work, leaving a lasting impression on those who review it.

3. To Write a Security Report:

The information in your notebook serves as the foundation for writing a complete and accurate security report, as it records the chain of events that occurred during the incident.

A comprehensive security report should rely on the detailed notes you recorded in your notebook. Since the report is often written after the incident, it is easy to forget the sequence of events if they are not documented promptly.

By noting even small details of the scene as the incident progresses, you can recall the entire picture of what happened when preparing your security report. This ensures your report is detailed, accurate, and reflective of the incident.

4. To help in the investigation:

Your notebook plays a crucial role in organizing the material you have gathered. Arranging your notes in chronological order not only assists in writing a detailed security report but also provides valuable facts during the police investigation.

You never know if someone you deal with today might be involved in criminal activity in the future. Recording details about the individuals you dealt with can be crucial for future life.

If a person is later found involved in wrongdoing, your notes about their past actions can offer insight into their history. This information becomes a useful reference for building a case or supporting an ongoing investigation.

Your notebook essentially becomes a tool for connecting past events to present circumstances, enhancing the overall investigative process.

Maintaining the notebook

  • Notebooks are an essential tool: Your notebook is an essential tool for recording incidents, observations, and other critical information.
  • Retain filled notebooks: Always store your notebooks securely, even when they are full, as we may need them for future reference.
  • Make corrections properly: If you need to correct an entry, do so clearly and professionally. Avoid scratching out or making the entry illegible.
  • Never tear out pages: Never remove pages or sections from the notebook, as doing so compromises its integrity and professionalism.
  • Keep your notebook secure: Always control your notebook and store it safely to prevent unauthorized access.
  • Avoid public access: Do not leave your notebook in areas where the general public can access it.
  • Maintain professionalism: Never use profanity or unprofessional language in your notebook, as it reflects poorly on your conduct and professionalism.

Security guard salary in UAE and dubai per month

The security guard salary in UAE generally remains the same across emirates like Abu Dhabi, Ras Al Khaimah, Fujairah, Ajman, Sharjah, and Umm Al Quwain. However, the security guard salary in Dubai differs significantly due to different security regulations.

Security regulations in UAE:

In the United Arab Emirates (UAE), there are two primary regulatory bodies. Each has developed its private security regulations and actively enforces them within the security industry and security professionals.

  1. PSFRD (Private Security Firm Regulatory Authority), previously known as PSBD.
  2. SIRA (Security Industry Regulatory Authority), formerly recognized as DPS.

Understanding Security Guard Salary in the UAE:

Both security regulations in the UAE have established guidelines for the basic salary of security guards. Companies under their jurisdiction must compensate security professionals according to these regulations.

Although the UAE Labor Law stipulates an 8-hour workday, security guards often work 12-hour shifts. This results in an additional 4 hours of overtime each day. Despite this extended schedule, security professionals working day or night shifts do not receive extra allowances for night duties or shifts.

Overtime pay, as mandated by UAE Labor Law, is applicable to security guards under both PSBD and SIRA regulations. However, it’s important to note that the security guard salary in Dubai is generally lower compared to salaries in other emirates across the UAE.

Security guard salary in UAE:

The security guard salary in the UAE has remained unchanged for over a decade. Security guards working under PSFRD regulations have their salaries structured as follows:

  • Basic Salary (per month for 26 working days): AED 2,000
  • Overtime Pay (4 hours per day): AED 770
  • Total Salary (for 26 working days): AED 2,770

Most security professionals under PSFRD regulations are entitled to one day off per week. If a company requires them to work on their day off, it must provide a substitute day off in return.

Security guard salary in Dubai

The SIRA also has its salary structure for the security guard under its jurisdiction and the company has to pay accordingly.

  • Basic Salary (per month for 26 working days): AED 1440
  • Overtime Pay (4 hours per day+allowance): AED 825
  • Total Salary (for 26 working days): AED 2,265

Additional Compensation for Security Guards in the UAE:

In addition to their salaries, security guards in the UAE receive several benefits provided by private security companies:

  • Free Accommodation and Uniforms: Security companies cover these essential provisions for their employees.
  • Mandatory Vacation: Every two years, companies are required to grant security professionals a 2-month vacation with their basic salary and a round-trip ticket.
  • Healthcare and Allowances: Private security firms also offer healthcare benefits and other allowances, depending on their policies and regulations.

These benefits ensure that security professionals receive adequate support beyond their monthly earnings.

Understanding Security Guard Roles: Key Responsibilities and Duties

Basic Security Guard Training Lesson (A): Security Guard Roles

Security services, both public and private, are crucial in every country. Public security is the responsibility of the government, while private Security Guard Roles is the protection of private and public properties.

In the last decade, the private security industry has experienced rapid growth, becoming one of the fastest-growing sectors worldwide.

Many countries face increasing challenges due to crime and radicalization, which are difficult to control.

While police departments are tasked with managing criminal activity, they are under constant pressure to ensure public safety with limited resources.

Decreasing budgets in the defense sector have made it harder for police forces to hire more personnel and acquire equipment, even as populations grow and crime rates rise.

This gap between the demand for police services and their capacity has led many countries to involve private security firms in supporting the public sector.

Since police officers cannot always be present, the role of security guards is to protect clients’ properties and notify the authorities if any criminal activity is observed.

There is significant evidence of security guards aiding the police in apprehending criminals, highlighting why private security has become an essential part of law enforcement in many regions.

Some countries have gone further by placing private security companies and personnel under the supervision of police authorities.

Security services can generally be divided into two categories: public security and private security.

1.  Public Security:

Public security agencies include municipal, provincial, and federal police forces. These agencies are established by the government and operate to serve the public interest by maintaining safe and secure communities.

The four primary objectives of public security are:

  • Preserve and protect life.
  • Preserve and protect property.
  • Enforce laws.
  • Conduct investigations.

Police functions:- include traffic management, guarding, criminal investigations, immigration control, air and sea security, and major event security.

Public security agencies have broad authority for arrests, investigations, and the use of force, powers that are not extended to private security guards or the general public.

2.  Private Security:

Private security agencies differ from public security because they serve the client’s interests. The security guard roles in private firms is to offer protection in exchange for a fee, without the same powers as public security officers in terms of arrest, detention, or search and seizure.

Common private security practices include:

  •  Uniformed guards
  •  Event security
  • VIP protection
  • Security patrols
  • Residential Security
  •  Commercial Security

Security solutions offered by private firms can include:

  • Perimeter protection (fences, walls, doors)
  • Alarm and surveillance systems (CCTV cameras, alarm devices)
  • Fire prevention and control (automatic detectors, extinguishing systems)
  • Emergency and disaster planning
  • Accident prevention and safety measures

Common Duties of a Security Guard:

  •  Protect buildings, grounds, contents, occupants, and visitors.
  •  Enforce rules and regulations of the site.
  • Direct pedestrian and vehicular traffic.

 Roles of a Security Guard:

Security guards have multiple roles in protecting people, property, and information. These roles can be broken down into three main categories:

 1. Security Guard Roles to the Employer:

The first responsibility of a security guard is to protect the employer’s life and property. This includes:

  • Ensuring the premises are secure from various man-made and natural threats.
  • Preventing, detecting, and responding to criminal activities on the property.
  • Reassuring your employer that security risks will not disrupt their business.

2. Security Guard Roles to the Public:

Security guards are often deployed to protect the public during events. In these situations, the role of security guards is to ensure public safety by preventing injuries and losses.

Additionally, security guards assist law enforcement in reducing crime by providing critical information, conducting preliminary investigations, or securing crime scenes until the police arrive.

Security guards can also assist in emergencies by acting as leaders and directing people to safety. For instance, during a fire, a security guard may guide firefighters to the exact location of the blaze, preventing confusion and speeding up rescue efforts.

In criminal investigations, security guards often provide key information to law enforcement and may testify in court to identify suspects or present evidence.

3. Security Guard Roles to Themselves:

As a security guard, you must recognize the importance of your role as a professional. With the heavy responsibility of protecting people, property, and sensitive information, you must act with professionalism, seriousness, and responsibility in every duty you perform.

This understanding of security guard roles is vital for ensuring the safety and security of your clients, the public, and yourself.

Comprehensive Guide to Security Guard Duties and Responsibilities

Basic security guard training Lesson B (security guard duties and responsibilities)

While the specific duties and responsibilities of a security guard may vary based on the client’s needs, the primary role is to prevent and deter crime while enforcing rules and regulations at the assigned location.

A security guard holds a vital responsibility because lives and valuable assets often depend on their actions. Early detection of safety hazards and prompt resolution can prevent serious dangers.

Security personnel also handle confidential information and protect property that may be worth millions of dollars.

The duties and responsibilities of a security guard are as follows:

 1. Observing and Reporting;

The duties of a security guard can change depending on the site. However, careful observation is critical to identifying potential risks. Security guards must be aware of their surroundings and record any unusual occurrences in their notebook. They must report issues to supervisors or relevant authorities if rules are not followed.

2. Deterring and Detecting Crime;

A visible presence helps deter criminal activities. Criminals are less likely to act when they see a security guard. If a crime is in progress, the security guard must report it to the police and provide detailed information, which can later serve as evidence in court.

3. Maintaining Good Public Relations

Good communication with the public is essential. As a security guard, you will frequently interact with visitors or staff, and your professionalism is key. Whether providing information or handling issues, maintaining a calm and helpful demeanor builds trust.

 4. Responding to Emergencies;

Emergencies, such as fires, floods, or bomb threats, can happen unexpectedly. A security guard’s duty includes being the first responder and acting according to the emergency procedures of the company. Quick actions in evacuating buildings or providing assistance can save lives.

 5. Controlling Access and Using Alarm Systems

Managing the flow of people, vehicles, and goods on-site is part of the job. Checking identification, monitoring deliveries, and controlling exit and entry points are routine responsibilities. Familiarity with alarm and surveillance systems, including CCTV, is crucial for effective security.

 6. Patrolling;

Patrolling involves moving around the site to monitor large areas. Whether on foot, bicycle, or in a vehicle, regular patrols help identify potential hazards and deter criminals. Visibility during patrols reassures the public and discourages criminal activities.

7. Traffic Control

In some locations, security guards may need to direct traffic or assist with parking, especially in busy areas like shopping malls. In emergencies, they may also work with law enforcement to manage traffic flow.

 8. Crowd Control

Large gatherings can sometimes lead to disputes or chaotic situations. A security guard must manage crowds at events such as festivals, demonstrations, or concerts, ensuring order and safety.

9. Identifying Safety Hazards;

While patrolling, security guards should be vigilant for potential safety hazards like water leaks, exposed wires, or other dangers. Noting these and reporting them for prompt repair prevents accidents and property damage.

 10. Performing Additional Duties;

Some security guards may have added responsibilities, such as answering phones, responding to emails, or running errands for their employer. These special duties should be handled with the same level of professionalism.

 Key Areas of Protection

 1. Protection of People

A security guard’s primary duty is to protect people, including the client, staff, and the public. By identifying hazards, preventing unauthorized access, and providing escort services, security guards help ensure safety. They also manage conflicts, such as labor disputes, and maintain order.

 2. Protection of Property

Security guards prevent theft, vandalism, and damage to property. Regular patrols, surveillance, and checks on goods entering or leaving the site help safeguard assets. Whether it’s a client’s building, merchandise, or public property, protection is a core duty.

3. Protection of Information

Confidentiality is essential in today’s digital age. Security guards must protect sensitive information from leaks and breaches. Unauthorized access to computers or restricted areas should be reported immediately, and guards must remain vigilant against cybercrime.

Conclusion

In this lesson, we covered the key duties and responsibilities of a security guard, which include preventing crime, protecting people and property, and maintaining public safety. Whether patrolling, managing crowds, or responding to emergencies, the duties of a security guard require vigilance, professionalism, and a commitment to safety.
